Filing Your Tax Return in the Netherlands: The Complete Guide for Founders

Every year, if you run a business in the Netherlands, you're required to file a tax return, and for a lot of founders, especially if you're new to the system, it's the most dreaded task of the year. Which receipts did you actually need, which deductions apply, and what happens if you make a mistake or file late? This guide covers exactly what filing your tax return in the Netherlands involves, when it's due, and how to handle it without the stress.

What does filing your tax return actually mean?

Filing your tax return means reporting to the Belastingdienst how much you earned and what tax you owe on it. As a business owner, you'll typically deal with two types of filings:

  • VAT return (omzetbelasting). Usually quarterly, covering the VAT you charged and paid.
  • Income tax. Once a year, covering your total profit after deductions.

Both are part of running a business, not optional: they're legally required for anyone registered as an entrepreneur with the Dutch Chamber of Commerce (KVK).

When is your tax return due?

VAT returns are usually filed every quarter, within a month after the quarter ends. Income tax is filed annually, with May 1st as the well-known deadline for the previous tax year. Miss that date and you risk a penalty from the Belastingdienst, even if it was simple forgetfulness, not intent.

Exact deadlines and any extension options are always most current on the Belastingdienst's website, so check there if you're unsure about your specific situation.

Filing your tax return in 5 steps

  1. Gather your records. Every purchase and sales invoice from the relevant period.
  2. Work out your profit or VAT owed. Revenue minus costs for income tax, or the difference between VAT received and paid for the VAT return.
  3. Check your deductions. Think self-employed deduction, starter deduction, and the SME profit exemption.
  4. File the return through Mijn Belastingdienst Zakelijk, or have a bookkeeper do it.
  5. Pay or receive whatever amount the return works out to, within the deadline.

On paper this sounds straightforward, but the details, which costs are and aren't deductible, are exactly where things tend to go wrong.

Common mistakes when filing

  • Missing deadlines. A missed filing leads to a penalty fast, even for a small oversight.
  • Typos and misentered amounts. Small slip-ups that can have outsized consequences.
  • Applying VAT rules incorrectly. Especially common with international sales or multiple VAT rates.
  • Missing deductions. The self-employed deduction and SME profit exemption aren't always fully claimed when you calculate it yourself.

None of this is about competence, the rules are just genuinely complex. Mistakes like these are avoidable once someone who applies these rules daily is looking over your filing with you.

Why many founders outsource their tax return

Denise, a physiotherapist and Sophy &Co. client, used to send her documents to her previous bookkeeper too late, so her filing was often delayed. With Sophy &Co. she gets reminded at the right moments, so her return is now filed on time, without penalties and without the stress.

Share your purchase and sales invoices with us, that's all you need to do. We handle your VAT return and income tax, watch your deductions, and make sure you never miss a deadline. Our clients save an average of up to 10 hours a month on admin as a result, time you can put back into your business. Our own systems keep costs low and give your bookkeeper more time for you, so you get the attention you'd miss at a traditional firm, for around 60% of the price.

Handle it yourself or hand it off?

Filing it yourself is possible, especially if your bookkeeping is straightforward. But many founders find it takes more time than expected and carries more risk of mistakes than they're comfortable with. Full service for a fixed monthly fee, cancel anytime: that's the idea behind Sophy &Co., so you run the business and we handle the numbers.
