Free: bookkeeping check
Would you rather focus on your clients' wellbeing than on administrative hassle? In the healthcare and wellness sector, tax rules are often complex. Think of the VAT exemption for medical services, correctly processing insurance claims, and strict requirements for hour registration. One wrong assessment can have a major impact on your net income.
What does the Free Practice Bookkeeping Check involve?
The experts at Sophy & Co. look specifically at the challenges within your practice or studio:
- VAT scan: Are you correctly applying the VAT exemption (BIG) or the small business scheme (KOR)?
- Claims check: Are your invoices and any insurer claims processed efficiently?
- Cost optimization: Are you making the most of tax deductions available to healthcare professionals?
- Hour registration: Does your administration meet the Dutch Tax Administration's requirements for the self-employed deduction?
What do you get out of it?
In just a 15-minute conversation, we map out the risks and opportunities. You'll immediately get 3 practical tips to bring calm and clarity to how you run your practice.
You take care of your clients, Sophy & Co. takes care of your numbers.
Everything you need to know about our service
Not every healthcare service is exempt. The medical exemption only applies if:
- The practitioner has a scientifically grounded medical qualification (often BIG-registered or recognized by a professional association).
- The purpose of the treatment concerns human health (cure or prevention).
- Note: Cosmetic procedures, relaxation massages, or coaching without medical necessity are usually subject to 21% VAT. Sophy & Co. helps you determine exactly which rate applies to your services.
The Small Businesses Scheme (KOR) is a VAT exemption for entrepreneurs with a turnover under €20,000 per year.
- Advantage: You don't need to file VAT returns and don't charge VAT to your clients.
- Disadvantage: You can't reclaim VAT on your own purchases (rent, equipment, massage oil).
We're happy to work out with you whether the KOR is financially beneficial for your practice or studio.
If your clients can claim their treatment through insurance, your invoice must meet strict requirements (think AGB codes, performance codes, and client details).
At Sophy & Co., we recommend linking your client management system (such as Salonized or James Software) to your bookkeeping. This way invoices are processed automatically and you avoid errors in your VAT return.
Many healthcare entrepreneurs forget deductible expenses. Think of:
- Continuing education: Courses and conferences to keep your expertise up to date.
- Practice setup: From the massage table to the waiting room chairs.
- Clothing: Work clothing with your logo on it.
- Transport: Business mileage for visiting clients at home.
In healthcare, bookkeeping is often "mixed" (partly VAT-exempt, partly taxed). This makes filing complex. Sophy & Co. makes sure that:
- Your administration meets the requirements of the Dutch Tax Administration and health insurers.
- Your hour registration is correct for the self-employed deduction.
- You have your hands free to do what you're good at: taking care of your clients.
